Recording Secretary

CSU 52 is inviting expressions of interest from current members for appointment as its Recording Secretary.

The Recording Secretary supports the Second Vice-President in ensuring that accurate and timely minutes and related records are prepared for CSU 52 Board Meetings and Regular Membership Meetings.

This is a member appointment, not an elected Board position, committee position, or staff position.

Term and Appointment

The appointment is for a one-year term, with a 90-day initial assessment period.

The Hiring and Appointments Committee will review applications and recommend a candidate for appointment following consultation with the Second Vice-President. The final appointment will be made by the Board of Directors.

Compensation

The Recording Secretary will receive:

  • $400 per Board Meeting cycle, covering the Union 52 Benevolent Society Board and CSU 52 Board Meetings held on the same date; and
  • $350 per Regular Membership Meeting cycle, covering the Union 52 Benevolent Society and CSU 52 Regular Membership Meetings held on the same date.

Where in-person attendance is required, applicable union leave or wage replacement may also be provided.

Time Commitment

CSU 52 generally holds:

  • 12 Board Meeting cycles per year; and
  • 5 Regular Membership Meeting cycles per year.

The Recording Secretary will normally prepare two sets of minutes for each meeting date: one for the Union 52 Benevolent Society and one for Civic Service Union 52.

Most work can be completed outside the applicant’s ordinary work hours, using meeting recordings and CSU 52’s Microsoft 365 and SharePoint systems. Some in-person attendance or union leave may be required.

Eligibility

Priority will be given to current CSU 52 Members in Good Standing. Other current CSU 52 members may be considered.

Applicants should have strong written communication, proofreading, organization, and technology skills, along with the ability to prepare clear and accurate meeting records within established timelines.

Previous experience preparing meeting minutes or other formal written records is an asset, as is prior experience as a Shop Steward, committee member, Board member, or in another CSU 52 role.
